Proper project management
If you’re still managing your team with email and Skype messages, stop it. Things get lost, messages are forgotten (or worse, never received) and people do drop the ball. Let’s not forget all the time you spend sifting through your endless list of emails for that one piece of information you need.

One of the first things I did before hiring an assistant was to write a training/operational manual for Toni Nelson Means Business. The manual documented what I wanted to be done and how it was to be done. It’s a step-by-step process that she can follow on a daily basis. As I add on more team members, they can go through this manual, which will make them more efficient and able to work independently. This is truly a time-saving way to run your business.
Create a business organization chart
If you have multiple people on your team, this is critical. Rather than everyone coming to you for questions—or worse, asking the wrong person and getting the wrong answer—take the time to create an organization chart. Next, dd it to your operations manual and make sure your team knows where it is and what it’s for. Think of the time you will save not having to get on Zoom or Skype to answer questions that take up precious hours of your time. Instead, you can now focus in on the more important tasks in your business.
Use time blocking
Get out your calendar and start making appointments with the person who will help you run your business efficiently. In case you didn’t know that means you!
Decide when you’ll check email and when you’ll work on client projects, then stick to the schedule. This works because you are creating self-imposed deadlines time-saving habits that will not only force you to get the work done, but they’ll help keep you focused. You know what I mean. You won’t be tempted to waste time on Facebook. Instead, you’ll be working on your business.
All of these systems can be set up in an afternoon—at least initially. It’s phenomenal how being consistent when using these systems will save you time.
An hour a day is just the beginning, but you have to take action. You have to put in the work first. There’s no easy button. What’s impressive however is the rewards and benefits you receive. In the end, you’ll wonder how you ever managed before you did these four things to improve your business.
